Job Description & Key Responsibilities

As a Helpdesk & CAFM Coordinator, you will serve as the central communication hub between clients, internal teams, and field operations. Your day-to-day duties will include:

  • Client Communication: Handle emails, calls, and walk-in enquiries from clients and internal teams promptly and professionally.
  • CAFM System Management: Log all service requests accurately and maintain up-to-date records within the CAFM system.
  • Documentation & Reporting: Prepare meeting minutes, formal reports, and official correspondence as required.
  • Field Team Coordination: Coordinate schedules and travel arrangements for FM mobile teams to ensure timely service delivery.
  • Financial Administration: Prepare Local Purchase Orders (LPOs) and invoices, and maintain organized receivable records.
  • Payment Follow-Up: Proactively follow up with clients on pending payments to support healthy cash flow.

Requirements

Candidates must meet the following criteria to be considered:

  • ✅ Mandatory: Proven experience in CAFM systems and Facilities Management operations
  • ✅ Strong computer skills, including proficiency in spreadsheets, email, and online systems
  • ✅ Excellent communication and customer service skills
  • ✅ Strong organisational and multitasking abilities
  • ✅ High level of integrity and the ability to maintain strict confidentiality
